This policy explains what personal information Find Gluten Free UK collects through findglutenfree.co.uk, why we collect it and what your rights are.

Who we are

Find Gluten Free UK runs this website, a directory of places to eat for people who avoid gluten. We are the data controller for the information described here. You can reach us through our Contact page.

What we collect

  • Forms. When you use our contact, submit-a-venue or claim-a-listing forms, we collect what you enter: your name, email address, phone number if you give one, your role, venue details and your message.
  • Reviews. If you review a venue, we collect your name, email address, star rating and review. Your name and review are published once approved. Your email address is not shown.
  • Technical data. Our hosting provider records standard server logs, such as your IP address, browser type and the pages requested, to keep the site secure and working. When you send a form, we briefly store a scrambled version of your IP address for up to one hour to limit spam.
  • Venue information. Listings contain business details such as a venue’s name, address, website and how its kitchen handles gluten. This is information about businesses, taken from public sources or supplied by the venue.

If you claim a listing, we ask for a proof of ownership document. It is stored privately, seen only by our team, and deleted once your claim is decided. If you submit a venue, the photos and business details you provide are published on the listing once approved. We do not ask for sensitive information, including health details. Please do not include any in your messages.

Why we use it

  • To reply to you and deal with your request.
  • To add, check, correct or remove venue listings, and to confirm that someone claiming a listing represents the venue.
  • To keep the website secure and prevent spam.

Our legal basis is our legitimate interest in running the directory and answering enquiries, and, for venue owners, taking steps you ask for before entering into a contract with us.

Who we share it with

We do not sell your information or use it for advertising. If you open the map on a venue page, map images are loaded from OpenStreetMap and the mapping code from a public code library, which means those services see your IP address. If you use the distance button, your location is used in your browser only and is not sent to us. It is processed for us by our website hosting provider and our email provider, who act on our instructions. Paid plans are not yet available to buy online. When they are, payments will be handled by a payment provider and we will not see or store your card details. We may disclose information if the law requires it.

How long we keep it

We keep enquiries for as long as we need them to deal with your request and, for venue owners, for as long as we manage your listing. You can ask us to delete your details sooner.

Your rights

Under UK data protection law you can ask us for a copy of your information, ask us to correct or delete it, and object to or ask us to limit how we use it. To do so, contact us through the Contact page. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
